GoHighLevel and automation glossary

The terms you will hear from a GoHighLevel agency, defined in plain English by people who build with them every day.

How to use this page: each entry is a one-paragraph definition written for a business owner, not a developer. Terms are ordered from platform basics to integration, compliance and billing concepts. Link to any term directly using its anchor.

GoHighLevel (GHL)
An all-in-one CRM and marketing automation platform for local businesses and agencies, made by HighLevel Inc. Combines contacts, pipelines, SMS and voice, email, calendars, funnels, reputation and AI in one subscription.
Agency account
The top-level GoHighLevel account. Holds billing, settings and every sub-account. Agencies and multi-location businesses operate from here.
Sub-account (location)
A separate workspace inside an agency account, usually one per client business or per physical location, with its own contacts, workflows, calendars and phone numbers.
Snapshot
A saved copy of a sub-account's configuration (workflows, pipelines, calendars, custom fields, funnels) that can be loaded into a new sub-account. The standard way agencies replicate a build.
Workflow
GoHighLevel's automation builder. A trigger (form submitted, stage changed, tag added, appointment booked) followed by actions (send SMS, wait, update field, notify, call a webhook) with branching conditions.
Pipeline and opportunity
A pipeline is a set of ordered stages for a sales or delivery process. An opportunity is a deal card for a contact moving through those stages. Workflows can fire on stage changes.
Custom field
A field you add to the contact or opportunity record to store data GHL does not track by default, such as membership status, roof type or preferred location.
Custom value
An account-level variable (business hours, booking link, offer text) referenced across workflows and templates so it can be changed in one place.
Tag
A label attached to a contact used for segmentation and for triggering workflows. Tags are cheap to add and easy to abuse; a tag taxonomy is part of a good build.
Speed to lead
The time between a lead's first contact and your first response. GoHighLevel workflows are commonly used to bring this under one minute with instant SMS, email and optional AI calls.
Missed-call text-back
An automation that sends a text to a caller whose call went unanswered, typically within seconds, so the lead is not lost to the next business they dial.
A2P 10DLC
Application-to-Person 10-Digit Long Code. The US carrier registration required to send business SMS from standard phone numbers. Unregistered traffic is filtered or blocked. Registration involves brand and campaign approval and is a common blocker for new GHL accounts.
LC Phone and LC Email
HighLevel's built-in telephony and email sending services, billed at usage rates, used instead of connecting your own Twilio or Mailgun accounts.
Conversation AI
GoHighLevel's native AI for replying to SMS, chat and social messages, trained on your business information, with booking capability and handoff rules.
Voice AI
AI agents that answer inbound phone calls, hold a conversation, capture details and book appointments, either natively in GoHighLevel or through connected voice platforms.
SaaS mode
An agency-tier feature that lets an agency resell GoHighLevel to clients under its own brand with self-serve signup, plan tiers and rebilling of usage.
Rebilling
Charging sub-account clients for SMS, email and AI usage at a markup, handled in SaaS mode or through custom Stripe billing middleware.
Webhook
An HTTP message one system sends to another when an event happens. GoHighLevel can both send webhooks from workflows and receive them through inbound webhook triggers, which is how custom integrations connect.
Two-way sync
An integration in which changes in either system are reflected in the other, with defined field ownership and conflict rules. Required when GHL runs marketing beside an operational system such as Zenoti or an EMR.
Middleware
Code or a workflow service that sits between GoHighLevel and another system to transform, deduplicate, store and route data. Yotomations typically builds it with n8n, Node.js and Supabase.
n8n
An open-source workflow automation platform used to build integrations with more control and lower per-task cost than Zapier or Make. Self-hostable, so the client owns the instance.
Supabase
A hosted PostgreSQL database platform used as the ledger and state store in integrations and billing systems.
Zenoti
Practice management, booking and POS software widely used by med spas, salons and wellness groups. Frequently integrated with GoHighLevel rather than replaced by it.
Usage-based billing
Charging customers by measured consumption (conversations, seats, locations, events) instead of a flat fee. Requires metering middleware between GoHighLevel and Stripe.
Dunning
The automated sequence of reminders and retries that follows a failed payment, often paired with pausing service until payment succeeds.
Database reactivation
A campaign to dormant contacts in your CRM, usually a time-limited offer by SMS and email, with responses routed into a pipeline for follow-up.
Reputation management
Automated review requests after a completed job or visit, routed to Google, Facebook or industry platforms, plus monitoring and response.
Yelp Ads
Yelp's pay-per-click advertising for local businesses. Performance depends heavily on profile quality and response time. Yotomations manages Yelp Ads at 10% of spend with a $100 monthly minimum.
Conversation provider
A GoHighLevel integration type that lets an outside channel such as Yelp or a custom SMS provider deliver messages into the GHL conversations tab and receive replies. Without it, a lead from that channel is just a contact with no conversation to answer.
TCPA and Do Not Call (DNC)
US rules governing consent for calls and texts to consumers. Outbound texting to purchased or old lists requires consent handling, DNC screening and opt-out, with additional state rules in places such as New York and Florida.
HIPAA plan
GoHighLevel's add-on for accounts handling protected health information, which adds safeguards and a business associate agreement. It does not make every workflow compliant; data minimization and access rules still have to be designed.
Number porting
Moving an existing phone number from a carrier or another platform into GoHighLevel so texts and calls keep the number customers recognize. Requires A2P re-registration and careful timing for team members who depend on the number.
Arrival window
A two or four hour appointment window common in home services. GoHighLevel calendars book exact times by default; windows require calendar configuration or middleware so the customer sees a window and the crew sees a route.
Speed to lead
The elapsed time between a lead's first contact and your first response. The single strongest predictor of conversion for service businesses; GoHighLevel builds target under one minute.
