GoHighLevel vs HubSpot for service businesses: an engineer's comparison
For local and multi-location service businesses, the decision usually comes down to communication channels and cost structure. Here is how we think about it.
Learn moreMost med spas should keep Zenoti for operations and add GoHighLevel for marketing. Here is how to do it without breaking either.
Short answer: most med spas should not replace Zenoti with GoHighLevel. Zenoti runs booking, charting, memberships and point of sale well. GoHighLevel is far stronger at lead follow-up, marketing automation and multi-location reporting. The right project is a marketing migration into GHL plus a two-way sync that keeps Zenoti as the operational source of truth.
The trigger is almost always follow-up. Leads from Instagram, Google and the website arrive in five places, the front desk follows up when they can, and consults that did not close are never touched again. Zenoti's marketing module can send campaigns, but it was not built to run speed-to-lead texting, multi-step nurture, missed-call text-back and pipeline management across brands. GoHighLevel was.
| Job | Best system | Why |
|---|---|---|
| Booking, provider schedules, rooms | Zenoti | Built for clinical scheduling with resources and services |
| Charting, consent forms, photos | Zenoti | Clinical record must stay in the practice system |
| Memberships, packages, POS | Zenoti | Financial and inventory logic lives here |
| Lead capture and speed-to-lead | GoHighLevel | Instant SMS, email and AI response with pipeline tracking |
| Consult nurture and close sequences | GoHighLevel | Multi-step workflows with conditional logic |
| Reactivation and membership renewal outreach | GoHighLevel, triggered by Zenoti data | Campaign engine fed by expiry and last-visit dates |
| Reviews and referrals | GoHighLevel | Timed requests routed by platform |
| Brand and location reporting | GoHighLevel plus Zenoti reports | Marketing attribution in GHL, revenue in Zenoti |
A marketing migration moves clients as contacts, with the fields marketing needs: name, phone, email, location, brand, primary services, membership status, last visit, next appointment and consent flags. It does not move charts, photos, invoices or inventory. Tags and custom fields in GHL are designed to mirror the Zenoti attributes your campaigns will segment on.
Before any data moves, write down every field in Zenoti that will exist in GoHighLevel, what it maps to, how duplicates are resolved and which system wins when the two disagree. This document is the project. Teams that skip it end up with three versions of every client and a marketing list nobody trusts.
SMS and email consent must come across explicitly. Contacts without documented consent are tagged and excluded from outbound campaigns until consent is captured. This is not optional in a regulated aesthetics business and it is the first thing a compliance reviewer will ask about.
The sync answers four questions for each field: which system owns it, in which direction changes flow, what happens on conflict and what happens when one side is unreachable. Appointment status flows from Zenoti to GoHighLevel so that workflows can fire on booked, completed and no-show events. Contact updates captured by GHL forms flow back to Zenoti so the front desk sees the current phone number. Webhooks are verified, events are deduplicated, and every event is logged so the sync can be audited and replayed.
Groups need brand-level campaigns and location-level reporting at the same time. The GoHighLevel structure is designed around that hierarchy first, before any workflow is built, because restructuring later means rebuilding everything.
Three places: skipping the mapping document, treating the migration as a one-time export when the business keeps using Zenoti, and building marketing workflows before the account structure is settled. All three are avoidable with planning, which is most of what a good migration partner provides.
Yotomations has architected exactly this pattern for a 7-brand, 14-location aesthetics group. If you are weighing the same move, see how we run migrations or book a 30-minute call.
For most med spas, no. GoHighLevel does not handle charting, inventory, memberships and POS the way Zenoti does. The reliable pattern is Zenoti for operations, GoHighLevel for marketing and follow-up, connected by a two-way sync.
A single location typically takes two to four weeks. A multi-location group with two-way sync runs six to twelve weeks, delivered in milestones.
Client contact details, consent flags, appointment status and service categories. Clinical notes, payment details and inventory should stay in Zenoti.
