Internal Notification Actions: Alert Staff the Moment a Lead Comes In

An Internal Notification action inside any workflow can text or email your team the moment a lead needs attention, with no extra app required.

The Internal Notification action inside Workflow Builder sends an email, SMS, or in-app alert to a specific user or team whenever a workflow fires. No extra software, no separate integration.

Most accounts build automations that respond to leads but forget to tell the humans who need to act on them. If a new opportunity lands in a high-value pipeline stage or a form submission includes an urgent flag, an Internal Notification action can ping the assigned rep or a manager instantly, so the lead does not sit untouched until someone happens to check the pipeline.

Add this to any workflow that already has a trigger you trust, such as a new opportunity created or a contact tagged urgent. Keep the message short and include a link back to the contact record so the team member can act without hunting for context. One detail worth checking: notifications go to specific users or roles, not an unassigned queue, so confirm the right person is selected in the action settings before you rely on it for anything time sensitive.

How to use it

  1. Open the workflow and click Add Action
  2. Search for Internal Notification and select it
  3. Choose Email, SMS, or in-app as the delivery method
  4. Select the user or team to notify
  5. Add contact details in the message so the rep has context

Who it helps

Service business owners and agency operators who need staff to respond to hot leads within minutes instead of hours.

Set a Time Window So Workflows Never Text Outside Quiet Hours

A workflow setting called Time Window lets you cap the hours and days a workflow is allowed to send, so late-night texts stop happening automatically.

Add an SMS Consent Checkbox to Your Forms Before You Text Leads

A checkbox field on your intake form can document real SMS consent, which protects your A2P registration and keeps texts from getting filtered.

Manual Call actions: a dialer queue your workflow builds for the team

A workflow can pause and queue a contact for a human call, so the phone step in your follow-up is a task list the team works through, not a message the lead ignores.
