Learn moreMost GoHighLevel projects do not fail on the pipeline or the funnel. They fail in the middle, where GHL has to agree with the system the business already runs on. That is the part we staffed for.
A roofing company books in Jobber and wants follow-up in GoHighLevel. A med spa group keeps Zenoti for charting and point of sale and wants GHL for marketing. A clinic's EMR sends appointment events that reminders depend on. In every case the business runs on a system it will not give up, and GoHighLevel has to stay in agreement with it, in both directions, indefinitely.
The problems are never in the first happy-path test. They are in the edges: a webhook that retries and double-creates a contact, a client record with no email that Zapier cannot match, an appointment rescheduled in one system and still reminding from the other, an API rate limit hit during a bulk update at 2am. Prospects describe the symptom ("it broke all the time") without knowing the cause. We know the causes because we have fixed them.
We start with a mapping document that names the source of truth for every field, the direction each flows, how conflicts resolve and how consent travels. Then middleware we can reason about: n8n or Node services with a Supabase ledger when events need to be auditable, idempotency keys so retries are harmless, dead-letter queues so nothing silently disappears, and logs the client can read. Zapier is used only for one-way, low-volume creates where it is the honest cheapest answer. The Jobber integration guide walks through that decision for a typical home services stack.
The Zenoti to GoHighLevel case study is a marketing migration plus a permanent two-way sync for a multi-brand aesthetics group. The GoHighLevel and Stripe billing case study is a metering ledger between two systems that must never disagree about money. Both are the hard middle, described honestly, with names available on request.
You keep the operational system your team already knows. GoHighLevel becomes the follow-up and marketing layer without anyone re-keying data. And because we deliver in your accounts and repositories with documentation, the next engineer can find how it works. See the custom integrations service.
No. Keeping the operational system and integrating it with GoHighLevel is the right pattern for most service businesses, and it is the pattern we build most often.
Zapier works for one-way, low-volume creates. It cannot do true two-way sync, struggles to match records without an email, and gets expensive at volume. For anything that must stay consistent between two systems we use middleware with a ledger and retries.
You do. It runs in your accounts and repositories with documentation, so it keeps working if we are not around.
