Conversation-based billing between GoHighLevel and Stripe

A client needed to bill customers based on the conversations handled in GoHighLevel, not a flat subscription. Native GHL payments could not meter usage, so we designed a phased middleware system that could.

The situation

The client's pricing was based on conversations handled through GoHighLevel. Every month someone counted usage, built invoices by hand and answered disputes with screenshots. As volume grew, so did the errors and the time spent on reconciliation.

The design

We proposed a three-phase system so value arrived early and risk stayed low. Phase one connected Stripe products, subscriptions and webhooks to GoHighLevel and wrote payment status back to each contact. Phase two added the metering layer: n8n flows capture billable conversation events from GHL, deduplicate them and write them to a Supabase ledger, which then drives metered invoice items in Stripe. Phase three covered dunning sequences delivered through GHL, automatic service gating on non-payment, and reporting built directly from the ledger.

Why middleware instead of a plugin

Usage billing fails in the edges: retried webhooks that double count, events that arrive out of order, disputes that need an audit trail. A ledger the client owns, with every event recorded and replayable, handles those edges. A plugin does not. The client also keeps the code and the data.

The pattern

This same architecture serves agencies billing sub-accounts per seat, SaaS-mode operators billing per location, and service businesses invoicing by milestone from pipeline stage changes. The metering source changes; the ledger and Stripe layer stay the same.
