The situation

The group ran booking, charting and point of sale in Zenoti across seven brands and fourteen locations. Marketing and follow-up were fragmented by brand and location, and the leadership team wanted GoHighLevel as the single marketing and communication layer without disrupting the clinical and retail operation that Zenoti handled well.

What made it hard

Three things. First, Zenoti had to remain the source of truth for clients and appointments, so this could not be a one-time export. Second, each brand needed its own campaigns and reporting while corporate needed a consolidated view. Third, a group of this size buys through procurement, which meant attorney-reviewed contract terms rather than a standard agency agreement.

What we did

We designed the marketing migration and an ongoing two-way sync between Zenoti and GoHighLevel: which system owns which fields, how client records and appointment status flow in each direction, how conflicts resolve, and how consent is carried across. The GoHighLevel structure was designed around the brand and location hierarchy so that campaigns, pipelines and reporting worked at both levels.

On the commercial side, the engagement reached contract negotiation with attorney redlines on both sides. The issues were the ones any enterprise buyer raises: a cyber liability insurance requirement, intellectual property ownership of the integration, liability caps, mutual indemnification and clarity on the contracting entity. Working through those terms is part of serving multi-location groups, and it is something many GoHighLevel agencies have never done.
