Use the Assign To User Action So Every New Lead Has an Owner

Add the Assign To User action to your lead workflow so each new contact has a named owner before anyone opens the record, and nobody assumes a lead is someone else's.

The Assign To User action sets the contact owner from inside a workflow. When a lead arrives through a form, a missed call or a booking, the workflow can name the person responsible for that contact before anyone has to open the record and do it by hand.

This matters because unowned leads are the ones that go cold. Everyone assumes someone else saw the notification. Once a contact has an assigned user, you can filter Contacts and Conversations by owner, build a Smart List for each rep, and have a clear answer when a lead gets missed. Ownership also makes your reporting by team member mean something.

Add the action right after your trigger, choose the user, and turn on the option to only apply to unassigned contacts. That keeps the workflow from overwriting an owner someone set manually, which is the usual complaint when a returning customer submits a form a second time. Pair it with an Internal Notification action so the new owner finds out immediately. If different services need different owners, place one Assign To User action inside each If/Else branch instead of using a single flat list.

Prefer to watch? The 47-second version

Add the Assign To User action so every new lead has a named owner before anyone opens the record in GoHighLevel.

Watch it on its own page, with the transcript.

How to use it

  1. Go to Automation > Workflows and open your new lead workflow
  2. Click the + after your trigger and add the Assign To User action
  3. Select the user who should own the contact
  4. Turn on the option to only apply to unassigned contacts
  5. Add an Internal Notification action after it, then save and publish

Who it helps

Home service companies, clinics and sales teams where several people answer leads and ownership gets unclear.

Related: Assigning an owner is the first step in getting a human to a new lead fast, which is what the Speed to Lead Sprint sets up.

Use the If/Else Action to Send Each Lead Down the Right Path

The If/Else action splits one workflow into branches by tag, field or other contact data, so you stop building a separate workflow for every case.

Use Hidden Form Fields to Record Where Each Lead Came From

Add a hidden field to your form, give it a query key, and GoHighLevel saves the campaign name from the link onto the contact record without the lead typing anything.
