Agency | | 1 min read | By Yaakov (Koby) Oranski, Certified GoHighLevel Admin

Every person you add to a sub-account has a Role: Admin or User. Admins see everything. Users only see what their Roles & Permissions allow. Most agencies add client staff once, leave the default, and never look again.

That default is where trouble starts. A receptionist who only needs Conversations and Calendars can also open Automation, change a workflow, and break the follow-up you built. Someone who is just booking appointments can end up inside settings you would rather they never touch. Fewer visible tools also means a simpler account for them, so they use it more.

Treat the Admin role as something you hand out on purpose. For each person, ask what they do in the account all day, and leave only those tools switched on. A front desk user usually needs Conversations, Contacts and Calendars. An owner who wants to see sales may want Opportunities and Reporting too. You can change permissions later, so start tight and add access when someone asks.

One detail: permissions are set per user, not per role template, so check each person after you add them. Review the staff list whenever someone leaves or changes jobs.

How to use it

  1. Open the sub-account and go to Settings > My Staff
  2. Click the edit icon next to the user you want to restrict
  3. Set the Role to User instead of Admin
  4. Under Roles & Permissions, switch off tools they do not use
  5. Save, then repeat for each person on the staff list

Who it helps

Agency owners and account managers who give client staff logins to sub-accounts, including clinics, home service companies and salons.

Related: If you inherited an account where every user is an Admin, a cleanup is a sensible place to start fixing access.

Use the Goal Event Action to Stop Follow-Up After a Lead Books

The Goal Event action lets a follow-up sequence skip ahead or end the moment a lead books or replies, so nobody gets a nudge text after they already said yes.
