Every appointment booked through a GoHighLevel calendar has a reschedule link and a cancellation link you can drop into a message as merge fields. They are {{appointment.reschedule_link}} and {{appointment.cancellation_link}}. Most reminder workflows skip them and only state the date and time.
This matters because a client who cannot make it rarely calls to say so. They just do not show up. When the message includes a link, changing the appointment takes under a minute and needs no back-and-forth with your front desk. A cancellation also frees the slot on your calendar, so someone else can book it.
Add both links to your reminder SMS and email, with one plain line such as Need a different time? Use the link below. One detail makes it work: the links open your calendar's booking page, so rescheduling follows that calendar's availability and minimum scheduling notice. Check those settings first, or clients may be offered times you would not choose. Also book a test appointment with your own number and click both links before you rely on them.
How to use it
- Go to Automation > Workflows and open your appointment reminder workflow
- Open a Send SMS or Send Email action in that workflow
- Use the merge field menu in the editor and search for reschedule
- Insert the reschedule and cancellation links with a short line of text
- Book a test appointment and click both links from the reminder
