A GoHighLevel consolidation and audit for a marketing agency moving into partner matchmaking
A marketing agency moving from e-commerce campaigns into partner matchmaking and brand distribution needed to leave its old email tool and finish a half-built GoHighLevel account. The solution is a fixed-price audit followed by a staged build: contact migration that protects deliverability, booking and no-show flows, deal automations and a simple way for a salesperson to log contacts.

Solution
A fixed-price audit, then a build of roughly three weeks covering contact migration, booking and no-show flows, deal automations, simplified contact entry and website form integration
How an audit-first GoHighLevel build closed the gap between a half-finished account and a live system, with contacts migrated, workflows built, and deliverability protected.
This is a marketing agency best known for e-commerce work that is turning toward partner matchmaking and helping international and B2B brands find distribution. The owner describes it as "through and through a very relationship based business." Contacts are people the team knows, introduces and follows up with over a long stretch, so how they are tracked and nurtured matters a great deal.
Today the agency runs on two tools. Its established email platform holds the contacts and the older drips, while a GoHighLevel account sits half-finished beside it. An earlier vendor started the GoHighLevel work and left it partway. The owner is direct about it: "I'm not confident that it's necessarily been completed well or correctly." The only thing that has actually run in the account is an email warm-up sequence. The goal is simple to state: "I just also really want to be able to get fully into Go High Level because we're sort of split between two tools right now."
What made it hard
Several problems sit on top of each other, and none can be solved by simply flipping a switch.
Nobody knows what is already there. The owner is upfront that they are not an automations specialist or a GoHighLevel specialist, and that there may be considerations they have not thought of. Building on an unreviewed account risks building the wrong thing on top of the wrong thing.
Contacts have to land in the right place. Each person needs to arrive in the correct drip at the correct step, without anyone being started on a drip in the old tool while the move is under way, and without a burst of sending that hurts the domain's reputation.
Key automations are missing. Booking sales conversations, handling no-shows, and reacting to deal and status changes do not exist yet.
The salesperson lives in WhatsApp. They do not want to log in and fill out reports. Any system that depends on that habit will end up with an empty CRM.
Text messaging is blocked. A2P 10DLC registration is not approved. An earlier attempt failed on the website consent and disclaimer requirement.
WhatsApp has its own rules. The agency wants to protect its existing business WhatsApp account, and WhatsApp requires the customer to message first and uses pre-approved templates.
The solution
Start with a fixed-price audit
The work begins with a fixed-price GoHighLevel account audit. Once sub-account access is granted, the audit takes from a few days up to a week. It documents what exists in the account, what is missing against the owner's written requirements, and where the two disagree. The output is a detailed scope. It is written so the agency can build with us or hand it to another provider. Since the owner is unsure how some pieces should work, settling that first costs far less than rebuilding later.
Stage one: one system, built in about three weeks
The build that follows is fixed price and takes roughly three weeks, depending on what the audit finds. Stage one covers the following.
Contact migration with deliverability protection. Contacts are exported from the old tool, cleaned, and imported with tags and custom fields that record which drip they belong to and which step they have reached. A workflow places each person at the right point instead of restarting them. Unsubscribes and bounces are suppressed, and sending is released in controlled batches so the sending reputation is not put at risk. Nobody is started on a new drip in the old tool during the move.
Booking and no-show flows. A booking calendar connects to Google Calendar. A confirmed booking moves the contact in the pipeline and sends reminders. A missed appointment triggers a no-show workflow that offers a new time.
Deal and status-change workflows. The pipeline stages drive the follow-up. When a deal moves, a workflow updates tags, notifies the owner or salesperson, and starts or stops the right sequence.
A simpler input method for the salesperson. A short form captures the few fields that matter. A new contact enters the pipeline from that form rather than from a long CRM record, so the salesperson can keep working the way they already do.
Website form integration. Forms on the agency's online store site post into GoHighLevel, create or update the contact, and apply the tags that start the right sequence.
The old tool's automations are not migrated. They are out of date, so the new workflows are built fresh from the requirements and the audit.
Stage two: WhatsApp and SMS
WhatsApp and texting are held back on purpose. WhatsApp requires the customer to message first and sends outbound messages through pre-approved templates, and utility templates are approved far more easily than marketing ones. Setting it up carefully protects the agency's existing business WhatsApp account. SMS depends on A2P registration. Approval can take anywhere from two days to three weeks, and it rests on matching business details (legal entity, tax ID, address, company email) and a website contact page with proper consent checkboxes. That consent page is what the earlier attempt missed, and the website and A2P 10DLC launch package exists to get it right.
Ongoing care
After the build, an optional maintenance retainer covers small fixes. New development is scoped separately so that routine upkeep does not blur into new projects. The GHL Care Plan is the package we use for this.
Why this pattern fits businesses like this
A relationship-driven business cannot afford to lose context. When contacts are split across two tools, every introduction and follow-up depends on someone remembering where the record lives. One system with clear pipeline stages fixes that. Moving to one system is a migration job, but it is also an automation job, because the value is in the workflows that run after the contacts arrive.
The audit-first order matters most when the owner is unsure how things should work and an earlier build is of unknown quality. It turns a vague worry into a written list. Readers who want a quick read on their own account can try the GoHighLevel health check. A similar consolidation at a larger scale is described in our multi-brand med spa migration.
Designing around the salesperson's habits is the other half. A CRM that needs a long form after every conversation stays empty. A short input and automatic follow-up keep it current.
Where it goes from here
Stage two adds approved WhatsApp templates for utility messages and texting once A2P registration clears. Later additions could include reporting on partner introductions and more sequences for brand distribution outreach. Questions about this engagement
Why start with an audit instead of building straight from requirements?
When the owner is unsure how some things should work, or an earlier vendor left work of unknown quality, building directly risks building the wrong thing. A fixed-price audit documents what exists and what is missing, and produces a detailed scope that can be used for the build.
How do contacts move without hurting deliverability?
Contacts are cleaned and imported with tags and fields that record their drip and step. A workflow places each person at the right point, unsubscribes and bounces are suppressed, and sending is released in batches. Nobody is started on a drip in the old tool during the move.
Why is WhatsApp left for stage two?
WhatsApp requires the customer to message first and sends outbound messages through pre-approved templates. Utility templates are approved far more easily than marketing ones. Setting it up after the core system is in place also protects the existing business WhatsApp account.
How long does A2P 10DLC registration take?
Approval can take anywhere from two days to three weeks. It depends on matching business details across the registration and on a website contact page that has consent checkboxes and the required disclaimer.
