A GoHighLevel CRM and email funnel for a phone-based cruise travel seller

A cruise travel seller whose sales happen by phone had a half-finished website and no CRM behind it. The solution rebuilds the site on solid infrastructure and connects it to GoHighLevel, so paid social traffic becomes booked phone appointments.

A phone-based cruise seller had paid social traffic, a half-finished site, and no CRM. Here is how a rebuilt site and GoHighLevel funnel put qualified leads on his calendar.

Watch it on its own page, with the transcript.

The situation

The client sells high-ticket cruise trips. There is no online checkout. Every sale is a phone conversation with the owner, who sells each trip himself. In his words, "It's a high touch sale." The job of marketing is therefore narrow and specific: get a qualified person to pick up the phone.

The owner's plan is to run paid ads on Facebook and Instagram himself, with TikTok possible later, and send that traffic into a page that captures an email address and moves the person toward a phone appointment. He described the vision as building a CRM and using Instagram and other media to drive people into the page. What he needs from us is the structure behind it: the site, the CRM, the follow-up and the booking path.

The website exists, but in his own words, "It's half complete." The navigation is right. The pages that matter most are empty: a large catalog of cruise listings lives in a spreadsheet and has no content on the site. There is also a long list of edits and functionality additions, and no blog.

What made it hard

The site was built outside GoHighLevel by an outside freelancer who is no longer reachable. The owner does not know what platform it runs on. He knows it is hosted on Cloudflare and says, "I think it was built with a lot of AI, to be honest." That is a risky starting point. Nobody can say what is under the hood, who holds the access, or how the pages are generated, and adding forms, tracking and a CRM connection to a codebase nobody understands is slow and fragile.

Several other constraints shape the build:

  • The sale is not online. A normal funnel ends in a checkout. This one ends in a phone appointment, so the pipeline has to track conversations, not orders.
  • The follow-up is long. The nurture sequence runs over roughly 20 to 30 days by email and SMS, because buyers of expensive trips take time to commit.
  • SMS needs registration. Texting US numbers requires A2P registration, and email needs a properly authenticated sending domain, before either channel can be trusted.
  • Contracts and payments already exist. The owner has tools for both, and GoHighLevel could replace them, but swapping them mid-build adds risk for no near-term gain.
  • Budget is tight. The work has to be phased so the owner can fund it in stages.
  • Editing is collaborative. He wants to write down changes and walk through them by phone, so the process has to handle a steady stream of small revisions.

The solution

The site's look is replicated, but its structure and functionality are rebuilt on infrastructure designed for search engines, AI-search optimization and a clean GoHighLevel connection. Replacing the unknown foundation is cheaper than reverse-engineering it. Delivery is phased.

Phase one: site, CRM and booking

  1. The website. The spreadsheet of cruise listings becomes the source for listing pages. Each row maps to a page template with a title, itinerary, highlights and an inquiry button, so the catalog is maintained in one place instead of edited page by page. A blog is added so the site can earn search and AI-search visibility over time.
  2. Lead forms and guide delivery. Forms on the site and on the ad landing page create a contact in GoHighLevel, tag the source, and trigger a workflow that emails the travel guide. Hidden fields capture the campaign details from the ad link into custom fields, so the owner can see which ad produced each contact even though he runs the ads himself.
  3. Calendar booking with alerts. A booking calendar lets a contact pick a phone appointment. When one is booked, the owner gets an alert and the contact gets a confirmation by email and SMS, followed by reminders before the appointment. Missed appointments are handled by the same reminder and no-show pattern we use elsewhere.
  4. The sales pipeline. Each contact moves through stages such as New inquiry, Guide sent, Appointment booked, Spoke by phone, Quote sent, Booked, and Nurture. Workflows move contacts forward when they submit a form or book. The owner moves them manually after phone conversations, since that judgment is his.
  5. Email and SMS. The sending domain is authenticated, and the SMS side goes through A2P registration, the same work covered in our website and A2P launch package. The 20 to 30 day nurture sequence mixes both channels and stops automatically the moment a contact books an appointment or replies.

Contracts and payments stay in the owner's existing tools for now. The pipeline simply has a stage that marks a trip as booked once a contract is signed. Stripe is available inside GoHighLevel if he ever wants payments to move over.

Phase two: AI and deeper automation

The second phase adds more advanced AI and automations, including possible voice AI on the business phone line. The owner would like the phone AI built early, provided it does not slow phase one. The pattern is the one in our AI Front Desk package: the agent answers, asks a few qualifying questions, and books onto the same calendar, so every phone lead lands in the same pipeline as web leads.

Working on edits

Changes are submitted in writing and reviewed together by phone, then applied in batches. That keeps the owner in control of the wording on a site where tone matters, without turning every small fix into its own meeting.

Why this pattern fits businesses like this

When the owner personally closes every sale by phone, the funnel exists to protect his time and fill his calendar with people who have already read something and asked for a conversation. A CRM-first build does that. The site pulls attention, the form captures it, the guide gives the contact a reason to stay engaged, and the nurture keeps the business present for weeks without the owner writing each message.

It also matters that the system is built inside GoHighLevel rather than bolted onto an unknown site. Forms, calendar, pipeline and messaging share one contact record, so there is no sync to break. The owner sees one view of who asked, who booked and who went quiet. Speed also matters in phone-led sales, and a booking path that confirms instantly and alerts the owner immediately is the same idea behind our speed to lead calculator, which shows what slow follow-up costs a business that depends on conversations.

If you want to see the CRM-first approach on another site with little prior online presence, our floor installation contractor case study follows a similar order of work. The underlying approach is what we cover under GoHighLevel setup and automation.

Where it goes from here

After phase one, the system can take on the voice AI on the business line, tighter attribution for paid social and a possible TikTok channel, and, if the owner wants, contracts and payments moved into GoHighLevel. Each addition builds on the same contact record and pipeline. If you sell high-ticket services by phone and want a funnel that ends in a booked conversation, talk to us about your setup.

Questions about this engagement

Can a site built outside GoHighLevel still connect to it?

Often yes, through forms, embeds or a webhook, but it depends on what the site is built on. When the foundation is unknown and undocumented, as here, it is usually cleaner to rebuild the structure on infrastructure we understand and replicate the visual design.

Does a phone-based sale still need a funnel?

Yes, but the funnel ends in a booked phone appointment instead of a checkout. The form, guide delivery, booking calendar, reminders and pipeline all exist to get a prospect to that conversation and keep track of what happens afterward.

Do contracts and payments have to move into GoHighLevel?

No. GoHighLevel can handle both, but keeping the existing tools lowers risk and keeps phase one focused. A pipeline stage marks the trip as booked, and the move can happen later if it makes sense.

How does an email and SMS nurture over several weeks work?

A workflow enrolls each contact after a form submission and sends a timed mix of emails and texts over a few weeks. It exits the contact as soon as they book an appointment or reply, so nobody gets a nurture message after they have already talked to the owner. SMS requires A2P registration first.
